Attendance in small Indian teams is usually a photograph in a group chat, and it is a daily negotiation nobody wins. Somebody forgets, somebody sends yesterday photo, somebody arrives and does not message, and the manager spends twenty minutes a day being a register.

What to capture, and what not to

Capture at the punch: a selfie and the location, at that moment. That is enough to answer who started when, and it settles the question without anyone having to police a chat thread.

Do not capture during the day: continuous location, app usage, personal calls. This is the line that decides whether a team accepts the system or works around it, and working around it produces worse data than having no system at all.

Geofencing is worth having where it applies: define where a punch is valid, and decide whether one outside that area is blocked or simply flagged. For a calling floor, flagged is usually enough. For field staff, blocked at the wrong moment causes more problems than it solves.

Why attendance alone tells you nothing

Present is not a business outcome. A caller who punched in at nine thirty and had forty minutes of conversation had a worse day than one who punched in at ten and had three hours, and an attendance system on its own reports the opposite.

This is the argument for keeping attendance in the same place as the calling. Read side by side, the pair answers a question neither answers alone: was the day short, or was the day full and unproductive? Those need different conversations, and a manager holding two separate systems usually has neither.

The failure mode to design around

Field staff and low signal. A punch made at a site with no data must be recorded with its real time and sync later, because the alternative is a person standing in a car park waiting for a bar of signal, which is exactly the experience that makes people stop using a tool.

Retention

Selfies at punch time exist to verify the punch, not to build a photo archive of your staff. Keep them for a limited window and delete them after that. It is both the decent arrangement and the one that avoids holding personal images longer than any purpose justifies.

What to do with it

Very little, most days. Attendance is a background record that should be invisible when everything is normal and available when something is disputed. The moment a manager is reading attendance daily, something else has gone wrong, and it is usually a workload or a lead-quality problem wearing an attendance costume.
