Admission season is eight weeks long and the enquiry register is three notebooks by week two.

Admissions are won by the institute that calls back when it said it would. With Telodial, the telecalling CRM, every enquiry has an owner, a note and a next date.

One queue instead of three registers, counsellor notes that stay with the student record, and a fee-follow-up list that does not depend on anyone remembering.

How does a telecalling CRM help an admissions team?

Admissions run in short, intense seasons, which is exactly when a paper register fails. Telodial gives an admissions team one queue instead of several notebooks: every enquiry from a walk-in, a form, a hoarding number or a referral becomes a record with an owner, and the counsellor closes each call in two taps with the status, the note and the next date. Parents who ask to be called after the board results get a reminder that rings at that time with the earlier conversation on screen, so the second call continues the first rather than restarting it. Because the same records hold the fee stage, a counsellor can filter everyone at demo-attended or fee-pending and dial straight through the list. The head of admissions reads calls, outcomes and conversions per counsellor without waiting for a daily report.

The four leaks that cost coaching institutes and schools the most

Not one of these is somebody slacking. They are what a business gets when the only copy of the record is in a person memory.

The same parent is called three times

Three counsellors, three registers, one family. It reads as disorganisation at exactly the moment a parent is judging the institute.

Call me after the results

Half the enquiries in a season end this way. Without something that rings on the date, those are the enquiries that are simply never called again.

Peak weeks outrun the register

Two hundred enquiries in a week cannot be tracked on paper by people who are also counselling for six hours a day.

Fee follow-up drifts

A student who has attended a demo and not paid needs a call this week, not whenever somebody notices the gap in the ledger.

The pipeline

Your stages, ready to rename

Most businesses of this kind run roughly these stages. Rename them, put them in your order, add the ones you are missing: every list, filter and report reads from them.

How it runs

A day for coaching institutes and schools

  1. 1

    Every enquiry becomes a record

Walk-ins, form fills, hoarding numbers and referrals go into one queue with a source tag, so the season is measurable afterwards.

  2. 2

    Counsellors call from the queue

The auto dialer works through today enquiries and today callbacks, so the ninety calls that used to take a day take a morning.

  3. 3

Notes and next dates are saved on the call

Which course, which board, what the parent objection was, and when to call again. Two taps, while it is still fresh.

  4. 4

The head of admissions reads the season live

Enquiries, calls, demos and admissions per counsellor and per source, without waiting for anyone to compile it.

What callers and owners tell us

The reminder went off while I was driving and I pulled over to take it. That call became our biggest order of the quarter.

I timed my own callers before we switched. Twenty-two seconds between calls, every call, all day. That is an hour a person gone. The dialer took it back.
Ganesh T.Owner, insurance agency, PuneAug 2026
The follow-up rings like an alarm, not a notification you swipe away. That is the whole difference. I have not missed a callback in three months.

Questions

Coaching institutes and schools: common questions

Can several counsellors work the same enquiry list?

Yes, and this is usually the first problem it solves. Enquiries are assigned round robin or by course, so every family has one counsellor, and nobody is called three times by the same institute in one week.

How do we handle call after results enquiries?

Set the follow-up date on the call. The reminder rings on that date with the earlier conversation on screen, and all of that day callbacks can be dialed as one list.

Can we send fee reminders on WhatsApp?

Yes, either automatically when a student moves to fee pending, or as a campaign to everyone at that stage, with the parent name filled in.

Does it work for a small institute with two counsellors?

Yes, and the price is per user, so two counsellors is two users. Most of the benefit at that size comes from the callbacks that stop being missed rather than from the reporting.

Can we see which advertising produced admissions?

Yes. The source tag stays on the enquiry through to admitted, so you can compare hoardings, forms and referrals on admissions rather than on enquiry volume.

Admission season is short, and the list is always too long

Updated 21 June 2026

What decides an admission season

Hundreds of enquiries arrive in a fortnight.

Work the list by stage, not by date. Calling top to bottom means the parent who attended a demo class waits behind fifty who only downloaded a brochure. Stage-ordered calling puts the nearly-decided first.

A parent attended a demo and nobody rang after.

Make the demo a stage with its own follow-up. That is the warmest moment in the whole cycle and the easiest one to waste. A call the next day while the child is still talking about it converts far better than one a week later.

Enquiries from last year are never touched.

Call them before the new season starts. A parent who chose elsewhere last year is deciding again, and this time you have their history. Almost nobody makes that call, which is why it works.

What institutes ask

How do you handle a rush of admission enquiries?

Get them into one list with a stage on each, assign them so two counsellors are not ringing the same parent, and work by stage rather than by arrival order. The rush is a coordination problem before it is a calling problem.

Who should be called, the parent or the student?

Usually both, at different points, and the record should say which number is which and who decides. Ringing a student about fees or a parent about class timings is the kind of small mismatch that makes an institute sound careless.

What stages work for a coaching institute?

Enquiry, counselling done, demo attended, documents pending, fee paid, joined, and not this year. The last one matters more than it looks, because it is the list you call first next season.

How do you follow up without irritating parents?

Space it and make each call carry something new: a batch timing, a demo slot, a fee deadline. Repeated calls with no new information are what makes people stop answering, and the record is what tells the caller what was already said.

Where this comes from

  • The stages described here are the ones Indian coaching institutes and schools commonly use.
  • Any pricing referenced on this page is ours and is published on our pricing page.

What this page does not claim

  • We sell calling software to institutes, so the recommendations point towards the kind of tool we make.

Worth quoting

  • Admission enquiries arrive in bursts, so the constraint is coordination before it is calling capacity.
  • A parent who attended a demo class is the warmest lead in the cycle and the easiest to waste.
  • Last year unconverted enquiries are the best list to call before a new season, and almost nobody calls them.
  • Institutes usually need a separate stage for not this year, because it becomes next year first call list.
  • Follow-up calls that carry no new information are what make parents stop answering.
