Lead distribution: what people ask

What is lead distribution software?

Software that decides which caller owns each new lead, and applies that decision automatically as the lead arrives. The alternative is a shared list where ownership is decided by whoever opens it first, which is how two people end up ringing one customer.

What is round robin lead assignment?

Leads handed out in strict rotation, one each in turn, so the split is even by construction. It is the simplest rule and the right one when your callers are interchangeable. When they are not, splitting by source, product or language beats it.

Can I assign leads by source?

Yes. If one person owns everything that arrives from a particular portal or campaign, set that as the rule and it holds without anybody remembering it. Mixed rules are common: rotation for general enquiries, by source for the channels that belong to somebody.

What happens when a caller is on leave?

Reassign their open leads with the full history attached, so whoever picks them up reads the last conversation rather than starting again. Every reassignment stays on the record, which matters when somebody asks later why a customer heard from three people.

Does the caller know straight away?

Yes, by notification on their own handset, which opens the lead in one tap. Assignment without notification is just a database field, and the delay it was meant to remove comes straight back.

Which rule fits your floor

Your callers are interchangeable.

Straight rotation. Nothing beats it for fairness when anybody can handle anything, and fairness is what stops the rule being argued with. Complexity buys nothing here.

One person owns a channel or a campaign.

Split by source. Where somebody already owns the relationship with a portal, an agency or a particular advertisement, routing by source removes a handover that was never adding anything.

Callers are specialised by product or language.

Route on that field. A customer who needs Marathi and gets somebody comfortable only in Hindi is a lost call that no amount of even distribution fixes. Match the constraint that actually matters.

What people ask about assigning leads

Is round robin the best way to distribute leads?

It is the best default and rarely the best answer. Rotation is fair, simple and impossible to argue with, which matters more than optimisation on a small floor. It stops being right the moment your callers differ in a way the customer can feel, such as language, product knowledge or seniority on large accounts.

Should the best caller get the best leads?

Weighted distribution converts better in the short run and costs you the team in the long run. Everybody notices within a fortnight, the newer callers stop trying, and the measurement you were using to decide who is best quietly becomes circular. If you do weight it, say so openly rather than letting people work it out.

What happens to leads nobody wants?

On a shared list they sit there. That is the strongest single argument for automatic distribution: the difficult enquiry gets an owner rather than waiting for a volunteer, and the record shows who had it if it goes nowhere.

How do I stop distribution feeling like surveillance?

Explain the rule and let people see it. A rule everybody knows is a system; a rule applied invisibly is something being done to them. The rule itself is rarely the objection, and the objection is rarely raised out loud.

Can leads be redistributed later?

Yes, and reassignment carries the history so the next caller reads the last conversation. What matters is that the reassignment is recorded, because a customer who has heard from three people in a month will eventually say so.
