Virtual number

Virtual number: A phone number rented from a telephony provider rather than tied to a SIM, used to route calls to whichever agent is free, usually billed monthly plus per minute.

A virtual number exists in a provider system rather than in a phone. Calls to it can be routed anywhere, which is genuinely useful: one advertised number can reach a whole team, and calls to it can be tracked, queued and reported at the network level. Many businesses adopt one so that the company number does not belong to whichever employee happens to hold that SIM.

Two costs follow. The first is on the invoice: rental plus usage, which grows with call volume. The second is on the answer rate, and it is the one businesses notice later. Virtual numbers are shared infrastructure used by everyone from banks to spam operations, so recipients and caller-ID apps treat them with suspicion, and outbound answer rates on them are lower than on ordinary mobile numbers.

For outbound telecalling that trade is usually bad. For inbound, where the customer is dialing you and routing genuinely helps, it can be excellent. Many small Indian businesses end up with the sensible combination: an advertised virtual or landline number for incoming calls, and ordinary SIMs for the outbound calling their team does all day.

Should I advertise a virtual number?

For incoming calls it is often a good idea, since routing means nobody misses an enquiry. The question is only whether outbound calling should also go through it.

Why would a business want a virtual number?

Three good reasons: a single advertised number that survives staff changes, a presence in a city or country where you have no office, and the ability to route, record and measure calls centrally. All three are real, and none of them is about answer rate.

Do virtual numbers get answered less in India?

Generally yes for outbound calling, because the number is unfamiliar and reads as a call centre. For inbound, where the customer is ringing a number you advertised, none of that applies and a virtual number is often the better choice.

Can I use a virtual number for outbound telecalling?

You can, and large floors do. Below about fifty agents, the answer-rate cost usually outweighs the routing benefit, which is why smaller Indian teams tend to call from the SIM and reserve virtual numbers for the advertised inbound line.

What happens to a virtual number if I stop paying?

You lose it, and anything printed on a hoarding, a website or a delivery box that carries it stops reaching you. That is worth thinking about before putting a rented number on anything durable, and worth asking the provider about porting before you sign.
