A family enquired about Kerala in June, booked with someone else in August, and would have booked with you if you had called twice more.
Travel enquiries are comparison shopping with a long tail. With Telodial, the telecalling CRM, the itinerary you sent in June is still being followed up in August.
Every enquiry carries its dates, party size and budget, group departures dial as one list, and the family that travelled last year gets called before the season starts.

How does a travel agency use a telecalling CRM?
Travel sells on responsiveness and on memory. An enquiry compares three agencies within a day, then goes quiet while the family decides, then books suddenly. Telodial keeps the whole thread: travel dates, party size, budget and the itinerary version that was sent, on a record that opens whenever that customer calls. Follow-ups are dated rather than voluntary, so the quiet fortnight after a quotation still gets two calls. Group departures and seasonal packages become a callable list, so a hundred past travellers can be offered a departure in a morning rather than over a week of remembering. Because past trips stay on the record, the family that went to Kerala last summer can be called before the next season with a reference to what they actually enjoyed, which converts far better than a generic offer.
- Dates, party size, budget and itinerary version on the record
- Dated follow-ups through the comparison period
- Group departures called as one list
- Past travellers remembered before the next season
The four leaks that cost travel agencies and tour operators the most
Not one of these is somebody slacking. They are what a business gets when the only copy of the record is in a person memory.
The itinerary goes out and nothing follows
The quotation is the easy part. The two calls afterwards are what wins the booking, and they are the ones that get skipped.
Every enquiry is retold
Dates, number of people, hotel category and budget explained again on each call, which reads as an agency that is not listening.
Past travellers are forgotten
The easiest booking of the season is the family that travelled with you last year, and nobody has a list of them.
Departures fill by luck
A group departure needs a hundred calls in three days, which nobody can organise on paper mid-season.
Your stages, ready to rename
Most businesses of this kind run roughly these stages. Rename them, put them in your order, add the ones you are missing: every list, filter and report reads from them.
A day for travel agencies and tour operators
- 1
The enquiry lands with its details
Dates, party size, budget and destination captured on the first call, so nothing is asked twice afterwards.
- 2
The itinerary starts a follow-up rhythm
Dated follow-ups through the comparison period, each with the previous conversation and the version sent on screen.
- 3
Departures are dialed as a list
Filter past travellers or a destination interest and auto dial the whole list, with the outcome saved per call.
- 4
Last season becomes next season
Travelled customers stay on the record with what they did, so the pre-season call is specific rather than generic.
Ready-made WhatsApp follow-ups
Fill in what is inside the [brackets], keep them as templates, and set a status to make them go out on their own.
After sending an itinerary
[name], sharing the [destination] itinerary for [dates], [number] people, as discussed: [link]. Total [amount] including [inclusions]. Shall I hold the [hotel] rooms for two days while you decide?
Pre-season call to past travellers
[name], [season] bookings are opening. You travelled to [destination] with us in [month year]. This year we have [destination] departures on [dates] from [amount]. Shall I send the itinerary?
What callers and owners tell us
Two of my callers are seasonal. Adding them for three months and dropping them again was a two-minute conversation, not a contract change.
When a caller left, her whole history stayed. Six years ago that would have walked out of the office in a diary.
Site visits stopped evaporating. The Saturday reminder goes to me and the buyer gets his WhatsApp, and Sunday mornings are no longer wasted.
Quotes come from customers who agreed to be named this way, shared on WhatsApp or on calls, and trimmed only for length. We publish no star rating or review count, because we will not show a number we cannot show you the source of. Last checked September 2026.
Travel agencies and tour operators: common questions
How does a travel agency use a telecalling CRM?
Travel sells on responsiveness and on memory. An enquiry compares three agencies within a day, then goes quiet while the family decides, then books suddenly. Telodial keeps the whole thread: travel dates, party size, budget and the itinerary version that was sent, on a record that opens whenever that customer calls. Can I keep travel dates and party size on the record?
Yes, as custom fields, so they appear on the record, in filters and in exports. Filtering everyone travelling next month becomes a list rather than a search.
Can I call all past travellers before a season?
Yes. Filter to the travelled status, or to a destination tag, and auto dial the list. This is usually the highest-converting calling a travel agency does all year.
Does it handle group departures?
Yes, as a filtered list you can dial and message. The outcome per call tells you how many seats are genuinely committed rather than how many people said maybe.
Can I send the itinerary from the same app?
The WhatsApp message with your link goes out automatically on the status change, so the itinerary reaches the customer while the call is still fresh.
We are a two-person agency. Is it worth it?
At two users the cost is small and the benefit is mostly the follow-ups that stop being skipped. Most small agencies find the past-traveller list alone justifies it.

Enquiries that arrive at midnight and decisions made by families
Updated 14 June 2026
Where travel enquiries are lost
An itinerary is sent and the conversation stops.
Ring to confirm it arrived. A quiet customer has usually not rejected the trip, they are discussing it at home or comparing two itineraries. A short call the next day puts you back in the conversation while it is still happening.
The same enquiry is quoted twice by two staff.
Assign on arrival. Two different prices for one trip from one agency is the fastest way to lose the booking and the trust behind it.
Last year travellers are never called.
Call them before the season. A family that travelled with you once is the warmest list you own, and almost nobody rings them before the next holiday is planned rather than after it is booked.
What travel agencies ask
How quickly should a travel enquiry be answered?
The same day, and the same hour in season. Travel enquiries are made in bursts across several agencies and the itinerary that arrives first sets the shape of the trip everybody else is then compared against.
What should be captured on a travel enquiry?
Dates or the flexibility around them, how many travellers and their ages, the budget range, and what the trip is for. An anniversary and a family holiday with two small children are different products, and asking again later makes it obvious nobody wrote it down.
How do you handle a group where one person decides?
Record who the decision maker is and who else is in the conversation. Ringing the person who enquired when the decision sits with somebody else is a common and quiet way to lose a booking that was otherwise going ahead.
How do you follow up without pushing?
Give each call a reason: a seat holding until Friday, a price valid until a date, a hotel filling up. Pressure without information annoys; information with a deadline is useful, and the record is what tells the caller which they used last time.
Where this comes from
- The workflow described here reflects how Indian travel agencies of two to fifty people commonly handle enquiries.
- Any pricing referenced on this page is ours and is published on our pricing page.
What this page does not claim
- We sell calling software, not booking or ticketing systems, and an agency will normally run both.
Worth quoting
- Travel enquiries are made to several agencies at once, and the first itinerary sets the comparison.
- A quiet customer after an itinerary is usually discussing it at home rather than rejecting it.
- Dates, travellers and ages, budget and the reason for the trip are the four fields that shape the quotation.
- Recording who actually decides prevents calls to the person who merely enquired.
- Previous travellers are the warmest list an agency owns and the least often called before a season.
