What recruitment calling gets wrong

Candidates stop answering after the first call.

Call back when you said you would. Candidates are talking to several consultants and drop the ones who go silent. The promise to update by Friday is the whole relationship, and it is the one thing most easily forgotten in a busy week.

The same candidate is called by two consultants.

Assign ownership on arrival. Nothing damages a consultancy reputation faster with a candidate than two people from the same firm ringing about different roles without knowing about each other.

Old candidates are never revisited.

Keep them with their skills and dates. Somebody who was not moving in March is often moving in September, and a database of people who already know you is worth more than a new advertisement.

What recruiters ask

How do you keep candidates warm between interviews?

Short, scheduled updates, even when there is no news. The message that says nothing has moved and here is when I will know more keeps a candidate engaged, while silence is read as rejection and they accept elsewhere.

Should candidates and clients be in the same system?

They are two pipelines with different stages, and mixing them into one list is what makes both unreadable. Keep the stages separate even if the tool is shared, so a consultant can work all candidates at offer stage without wading through client conversations.

What should be recorded after a candidate call?

Notice period, current and expected package, location constraint and what would actually make them move. The last one is the field most often left blank and the one that decides whether an offer is accepted.

How many follow-ups before a candidate is inactive?

Set a rule and record the outcome rather than deciding case by case, because otherwise the pleasant candidates get chased and the promising ones do not. Mark them inactive with a reason so they can be found again when a matching role appears.
