Bulk WhatsApp to a lead segment

A thousand identical messages fired at once is the fastest way to lose a number.

Bulk messaging fails when it looks like bulk messaging. With Telodial, the telecalling CRM, a campaign goes to a filtered segment in controlled batches, from your own business number.

Filter by status, source, tag or your own field, check the count, pick a template and send. Each human gets one message, batches are paced, and the report says what actually landed.

Bulk WhatsApp to a lead segment in the Telodial app

How do I send bulk WhatsApp to my lead list safely?

In Telodial a campaign starts from a filter rather than from a file: choose a lead status, a source, a tag or one of your own fields, see how many people match, then pick a template and send. The sending itself is paced into controlled batches instead of firing every message at once, which is both gentler on your number reputation and closer to how a person would actually work through a list. Each human in the segment receives one message even if you hold several of their numbers, so nobody gets the same offer twice. Quiet hours apply to campaigns as they do to automatic messages. Afterwards the campaign report shows delivery, read and reply state per recipient, and replies land in the shared inbox next to each lead record, so a campaign that works turns into conversations rather than a statistic.

  • Segment by status, source, tag or your own fields
  • Paced batches rather than one burst
  • One message per person, not per number
  • Delivery, read and reply state per campaign
How it works

Step by step

  1. 1

    Filter the people you mean

Status, source, tag, city or your own field. The count updates as you narrow it.

  2. 2

    Pick the template and send

Preview it with a real name in it, then send. Batches are paced automatically.

  3. 3

Read the report and the replies

Delivered, read and replied per recipient, with the conversations in the shared inbox.

What you get

Bulk WhatsApp to a lead segment, in detail

A segment, not a spreadsheet

The audience is defined by the data you already keep, so it is current on the day you send rather than on the day someone exported it.

Paced sending

Batches go out over a period, which protects the number that your whole business depends on.

Deduplicated by person

Two numbers for the same customer means one message, not two.

Personalised at scale

Templates fill in the name and any field you choose, so the message reads as written rather than blasted.

Replies become conversations

Answers land in the shared inbox beside the lead record, with unread and unreplied markers.

A report you can act on

Who received it, who read it, who replied, so the next campaign starts from evidence.

What callers and owners tell us

Our old system had thirty fields and my team filled in two. This one has the four that matter and they fill in all four.

Our agency drops leads into a Google Sheet. They are now assigned and called before anyone opens the sheet.

The follow-up rings like an alarm, not a notification you swipe away. That is the whole difference. I have not missed a callback in three months.

Quotes come from customers who agreed to be named this way, shared on WhatsApp or on calls, and trimmed only for length. We publish no star rating or review count, because we will not show a number we cannot show you the source of. Last checked September 2026.

Questions

Bulk WhatsApp to a lead segment: what people ask

Will bulk WhatsApp get my number blocked?

Blocks are driven by how recipients react, so the protections are behavioural: send to people who actually enquired, pace the batches, respect quiet hours, and send one message per person. Telodial does all four by default, but a bad list will still be reported no matter how it is sent.

How large can a campaign be?

Large segments are supported and go out in paced batches over a period rather than in a single burst. The practical limit is your WhatsApp API provider own throughput and template rules.

Do I need approved templates?

For messages to people outside an open conversation window, yes: that is a WhatsApp rule rather than a Telodial one. Your API provider handles template approval and Telodial sends what has been approved.

Can I exclude people?

Yes. Narrow the filter, or exclude a status such as customers you have already sold to, so a campaign never reaches somebody it would annoy.

What happens when someone replies?

The reply appears in the shared inbox beside that lead record with an unreplied marker, so it becomes a conversation instead of a statistic.

Sending to many people without becoming somebody they mute

Updated 1 July 2026

Before you send to a thousand people

You are about to send to the whole database.

Send to a segment instead. A message relevant to everybody is relevant to nobody, and the cost of getting it wrong is not the send, it is the people who mute you and never come back. Segments make the message specific enough to be worth reading.

The campaign is a brochure with no ask.

Give it one thing to do. Broadcasts that inform and then stop produce nothing to measure and nothing for the recipient to act on. One clear next step is what separates a campaign from noise.

Nobody is watching the replies.

Assign the inbox before you send. A campaign generates replies within minutes, and the ones that arrive while nobody is looking are the interested people. Sending without a plan for answering is the most common way to waste one.

What people ask about bulk WhatsApp

How many messages can I send at once?

That depends on your provider tier and your quality rating rather than on any single fixed number, and it rises as your sending behaves well. The more useful limit is the one you set yourself: send to people the message actually concerns and the platform limits rarely become the constraint.

Do I need approved templates for a campaign?

Yes for anybody who is not in an active conversation with you, which is nearly everybody in a campaign. That approval step is the platform way of keeping the channel worth having, and planning around it is part of running campaigns rather than an obstacle to them.

How do I stop messaging people who asked me not to?

Exclude them at the list level, not by remembering. The exclusion has to survive the next import too, because the usual failure is a fresh upload quietly reinstating somebody who opted out three months ago.

What makes a campaign work on WhatsApp?

Relevance and timing far more than volume. A message to two hundred people about the specific thing they enquired about will out-perform one to five thousand about everything you sell, and it will not cost you the channel.

What this rests on

  • Campaign behaviour described here runs through the official WhatsApp Business Platform, and template rules are the platform own.
  • Sending limits and quality ratings are set by the platform and your provider, not by us.

What this page does not claim

  • This is a page about our own campaign feature.
  • Platform rules and pricing change; the documentation linked from the glossary is the source to trust.

Worth quoting

  • A message relevant to everybody is relevant to nobody, which is why segmentation matters more than reach.
  • Campaign messages to people outside an active conversation need approved templates.
  • An opt-out has to survive the next list import, or it is not an opt-out.
  • Replies to a campaign arrive within minutes, and those are the interested people.
  • The real cost of a bad broadcast is the people who mute you, not the price of sending it.
