WhatsApp Business API: The official programmatic channel for a business to send and receive WhatsApp messages at scale, accessed through a provider, with approved templates and per-message pricing.

The Business API is how software sends WhatsApp messages legitimately. A business connects through a provider, verifies itself, and can then send messages programmatically and receive replies into a system rather than a phone. Messages that begin a conversation outside an open window must use a template approved in advance, and each message carries a per-message cost set by the provider and the platform.

The alternative, automating a personal or business app account with unofficial tooling, is what gets numbers banned. The rules exist because the platform is protecting the experience of the people receiving messages, and enforcement falls on the number doing the sending, which is usually the number a whole business depends on.

For a calling team the API is what makes the useful patterns safe: the brochure that sends itself when a call ends, the renewal reminder on a status change, the campaign to a filtered segment, and a shared inbox where replies sit beside the lead record. Do I need the Business API to send WhatsApp from a CRM?

For automatic sending, bulk campaigns and a shared inbox that several people can answer from, yes. For one person messaging customers by hand from their own phone, no. The moment software is sending on your behalf at any volume, the official channel is the only one that does not put the number at risk.

Why do WhatsApp numbers get banned?

Almost always because unofficial tooling was used to automate a personal or business app account. The platform detects the pattern, not the intent, so a business behaving perfectly reasonably through the wrong channel gets treated the same as a spammer. The ban usually arrives without warning and takes the number with it.

What is a template and why does it need approval?

A template is a pre-approved message you may send outside an active conversation. Approval exists because that is the direction that can become spam. Inside a conversation a customer started, you can reply freely for a period; outside it, the template is the permission.

Who charges for the messages?

The provider you connect through, under the platform own pricing. A CRM that adds nothing on top is passing that cost through; one that marks it up should be able to say so plainly. Ask which it is before you sign, because at campaign volume the difference is not small.
